Are you organized, detail oriented, and passionate about the performing arts? OKC Rep is seeking a dedicated Administrative Assisant to support the Executive Artistic Director and help ensure the smooth day-to-day operations of our theater company.

​

This role plays an essential part in maintaining our donor and ticketing databases, supporting fundraising and donor communications, coordinating mailings, and assisting with administrative and project tasks that keep the organization running efficiently. The ideal candidate is proactive, dependable, and comfortable working independently while collaborating across departments in a creative environment.

Job Duties

​

  • Database Management

    • Maintain OKC Rep's donor database, including: entering gifts, building donation forms, updating donor contact information, and running reports.

    • Update OKC Rep's ticketing database with information from box office reports.

    • Create regular thank you and tax acknowledgement letters for donations received.

  • Donor Benefits Administration​

    • Work with Artists' Circle members to book their tickets.​

    • Build invitation lists for exclusive donor events.

    • Assist the Executive Artistic Director in managing donor communications.

  • Mass Mailings​

    • Manage mailing lists for fundraising and marketing.​

    • Coordinate the printing and mailing of letter, invitation, or postcard campaigns.

  • Ability to work independently

  • A passion for the performing arts and a commitment to the mission of the organization

  • Strong organizational and time-management skills with the ability to balance multiple priorities under pressure in a creative environment

  • Excellent interpersonal skills with strong written and verbal communications

  • Ability to collaborate effectively and maintain positive relationships across departments

  • Proficiency with Microsoft Office, and a willingness to learn new systems

Expected Hours of Work

​

This is a part-time position generally requiring 10-20 hours per week on average, with typical working hours during the times of Monday-Friday, 9:00am - 5:00pm. This role may need to be available some evenings and weekends during the rehearsal and production season, as business needs require. Hours and work shifts may change in accordance with business needs. 

​

Pay Range

​

$20-$25/hour
